These terms explain how private Kilimanjaro climb bookings, payments, changes, cancellations, traveler duties, and expedition responsibilities work with Altura Expeditions.

Booking and payments

A climb is considered reserved only after Altura Expeditions confirms the itinerary and receives the agreed deposit. The balance, due date, and accepted payment methods are stated in your proposal or invoice.

If payment is late, we may pause services, release reserved hotel rooms, or cancel the booking after reasonable notice. Bank fees, card fees, and exchange-rate differences are the traveler’s responsibility unless we agree otherwise in writing.

Prices and inclusions

Quoted prices are based on the route, dates, group size, support level, hotel category, transfers, park fees, staffing, and services described in the proposal. A proposal is valid for the period shown on it.

Unless your quote says otherwise, prices do not include international flights, visa fees, travel insurance, personal gear, optional rentals, personal expenses, tips, or extra hotel nights caused by schedule changes outside the agreed itinerary.

Traveler responsibilities

Each traveler is responsible for providing accurate personal information, reading the itinerary, arriving with suitable equipment, and carrying valid passport, visa, insurance, vaccination, and health documents where required.

You must tell us before the climb about medical conditions, medication, allergies, dietary restrictions, previous altitude issues, or any circumstance that may affect safety. We may refuse participation when information is withheld or when a guide believes continuing would create an unreasonable risk.

Mountain risk and guide decisions

Kilimanjaro is a high-altitude mountain environment. Weather, trail conditions, altitude response, transport, park rules, and other field realities can change the plan. Guides may adjust pace, rest, camps, descent timing, or evacuation decisions in the interest of safety.

Summit success is never guaranteed. Altura Expeditions plans carefully and provides professional support, but altitude illness, injury, illness, poor weather, or personal fitness can prevent a summit attempt or require descent.

Changes, cancellations, and refunds

Client-requested changes are subject to availability and any additional costs charged by hotels, parks, transport providers, airlines, or other suppliers. Cancellation terms are confirmed in the proposal because they may vary by season, route, and supplier commitments.

Refunds are not normally available for unused services once the expedition has started, including voluntary withdrawal, late arrival, early descent, missed transfers, or services declined by the traveler. If Altura Expeditions must materially change an itinerary before departure, we will offer a practical alternative where possible.

Suppliers, force majeure, and liability

Some services are provided by third parties such as hotels, vehicles, park authorities, rescue services, or local suppliers. We choose partners carefully, but we are not responsible for events outside our reasonable control.

Force majeure events may include severe weather, road closures, government action, park restrictions, strikes, epidemic controls, civil disruption, flight disruption, supplier failure, or other circumstances that make normal operation impossible or unsafe.
